Sr. Administrative Assistant Healthcare

This position will report directly to the Associate V.P. Provides a wide variety of administrative support for all sections within the department. Assists in adherence to Departmental budgets including some Concur reports, helps prepare documents for personnel changes, documents for day-to-day operations for the department, including operations reports, and assistance. Serves the department as an administrative liaison for all internal and external inquiries related to CCC. Will assist where applicable with scheduling of CCC external events. Works at marketing events for CCC, including presentations, session set ups.
Primary Responsibilities:
- Performs general clerical duties to include but not limited to: photocopying, faxing, mail distribution, filing and coordination
- Coordinates and maintains department records for staff, office space, phones, company credit cards and office or desk keys. Assists with CCC equipment tracking, logs, security, and possibly delivery of CCC equipment to our Providers and Clinical Support Staff, or members and CCC staff. Helps with work at home/telecommuting staff
- Creates and modifies various documents using Microsoft Office and possibly Tableau. This can include assisting and putting power point slides together and meeting preparation materials Preparing reports for presentations, or meetings with the AVP or his/her Dyad partner
- Provides support for not only the AVP, but his/her Dyad partner
- Maintains department Outlook Calendar. May be asked in monitoring for incoming requests for events or equipment from the CCC team. May be asked to assist with tracking or logs for incoming events
- Coordinates department meetings and conference calls as needed or anticipated
- CCC equipment supply ordering and registration assistance. Office supply ordering and inventory maintenance including Par Levels for medical kits
- May need to deliver equipment; need to be able to go to CCC or WellMed marketing events for set up or manning tables/booths
- May be asked to assist as necessary, with outbound calls for CCC events not related to patient scheduling
- Coordinates travel arrangements, and working with our Region’s extended territory staffing.
- Answers phones promptly and uses good judgement in distributing messages in a timely manner
- Keeping/coordinating the overall calendar of all CCC activities/interventions including any NTX strategy or Interdisciplinary Team (IDT) events
- Records minutes at various CCC directed meetings
- Create any member mailings or customized calling scripts that are necessary to support CCC efforts
- Assist with Department Onboarding and offboarding, including asset retrievals
- Performs all other related duties as assigned

Required Qualifications:
- High school graduate or GED
- 2+ years of related work experience including data entry
- 2+ years of experience working with Microsoft Office – including working experience with Excel, Word, Power Point, Outlook
- Tableau and Smartsheet experience
- Working knowledge of medical office procedures and medical terminology
- Proven excellent organizational skills, and strong attention to detail
- Proven ability to accurately sort and file materials by alphabetic or numeric systems
- Proven effective communication and customer service skills
- Proven ability to travel frequently within assigned market
- Proven ability to multi-task in a fast paced and deadline driven environment
- Proven flexible and adaptable to change
- Proven ability to maintain professionalism and a positive service attitude at all times
- Current Driver’s License and reliable transportation
Preferred Qualifications:
- 1+ years of Managed Care Experience
- Experience in medical office, or hospital or practice
- Bilingual (English/Spanish)
