The Patient Access Registration Representative is responsible for patient care delivery in the areas of patient registration, scheduling, insurance verification, payment processing for campuses with hospital and medical group departments. This role also provides a high level of customer service to our internal and external customers by maintaining positive relationships with patients, their family members and campus visitors.
Hours: Wednesday, Thursday & Friday 7:45am – 4:15pm
Location: Waukesha Memorial Hospital – Professional Office Building, 725 American Ave, Waukesha, WI
Primary Responsibilities:
- Gathers necessary data to complete the registration process
- Verifies accuracy of all demographic and insurance information at every visit to ensure compliance with department accuracy standards; Takes patient photographs and imports photos to EMR per department protocols
- Collects all copays prior to actual appointment, in accordance with departmental goals
- Collects outstanding patient balances
- Demonstrates competence, maintains knowledge of and follows PHC Finance department policies and procedures to secure, document and accurately reconcile payments collected
- Uses site leadership and/or PHC Patient Accounting team as a resource whenever there are questions; Promptly reports any discrepancies or concerns to leadership
- Schedules and reschedules appointments in the EMR per provider protocols and patient preferences; Refers patient to the appropriate clinical team per protocol
- Offers appointment reminders for patients per department protocol
- Informs appropriate clinical team when patients present with obvious or unusual discomfort, using defined departmental protocols
- Responsible for monitoring needs for updates to department forms
- Prepares and reconciles individual cash drawers and reports daily for payments received per department protocol
- Observes patient waiting room, recognizes patients waiting for extended time periods; Investigates and communicates any delays to patients and offers alternative options
- Answers and handles phone calls professionally and appropriately using standard approved phone scripting
- Monitors calls on hold and call wait times; Ensures all needs were met before ending the call
- Takes concise phone messages and routes to appropriate staff or provider utilizing the request process in the EMR
- Responds to patient prescription refill requests by utilizing the refill request process in the EMR as assigned
- Performs standard check out process with patients after their visit
- Monitors the front desk EMR In Basket and works assigned Work Queues in EMR and assigned reports; Processes on-line registrations from the ProHealth Care website or from the system generated work queue as assigned
- Demonstrates ability to effectively use all applications and system resources required for this role, including EMR, Route Match, Outlook, iNet, Interpretive Services and Credit Card Banking System
- Monitors, obtains, sorts and routes mail and faxes to appropriate recipients per department protocol
- Assists with inventory management as assigned
- Responsible for monitoring and maintaining a neat and orderly patient waiting area
- Responds to medical record requests and provides patients with appropriate documents and instructions
- Collects completed forms and sends to Health Information Management (HIM)
- Prepare patient labels from the EMR for all records received from an outside source
- Send documents to HIM for scanning
- Generates and provides patient wristband per department protocol; Generates patient letters as assigned

Required Qualifications:
- High School Diploma/GED (or higher)
- 1+ years of previous experience with medical office or hospital admitting/registration
- 1+ years of experience with Microsoft Office products
- Ability to work on a full-time basis from Monday – Friday from 7:45am – 4:15pm for first 4 weeks upon hire to complete training
- Ability to work Wednesday, Thursday & Friday 7:45am – 4:15pm after training
- Must be 18 years of age or older
Preferred Qualifications:
- Knowledge of medical terminology
- Computer and keyboarding skills
- Medical office experience
- Experience with electronic medical records system
The salary range for this role is $16.00 to $28.85 per hour based on full-time employment. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
