We are seeking a highly qualified Executive Assistant for Optum Health that is responsible for performing a wide range of administrative and executive support duties of highly responsible, time sensitive, and confidential nature for the Chief Executive Officer (CEO) of Optum Health.

The Executive Assistant, Optum Health must be prepared to work in a fast-paced environment and possess the ability to be flexible in many different situations and will be the primary support to the Chief Executive Officer of Optum Health.

Primary Responsibilities: 

  • Supports CEO by prioritizing, assisting and executing action items, follow-ups and tasks with minimal supervision
  • Consistently exhibits behavior and communication skills that demonstrate Optum’s commitment to superior customer service, including quality, care and concern with each and every internal and external customer
  • Relieves executive management of administrative functions to allow management to focus on strategic responsibilities
  • Strategically and proactively manages calendars for executive management requiring interaction with both internal and external executives and assistants to coordinate a variety of meetings
  • Schedules, organizes and coordinates complex meetings, events, training sessions, interviews, appointments, travel arrangements, conferences and LLC activities with individuals across the enterprise
  • Manages all external events, develops communications, filters important emails, and flags any issues with recommendations to resolve
  • Supports event planning for CEO by scheduling cross market functions and meetings for the company
  • Organizes site visits for outside vendors, prospective acquisitions and business development
  • Responds confidently, courteously, knowledgeably and professionally to internal and external phone calls and visitors with service excellence
  • Gathers data to create presentations that includes charts and graphs and distributes to appropriate parties
  • Business travel pending need of support by CEO
  • Manage special projects and department specific assignments on an urgent basis
  • Analyzes and works with department leads to improve and enhance processes for greater efficiency and ease within the organization (i.e., office space, pricing etc.)
  • Attends team meetings, phone conferences and trainings
  • Mentors and provides leadership to peers and administrative assistants
  • Maintain and communicate sensitive or confidential information in accordance with internal policies and procedures
  • Ensure all resources and technology is set up and working for all meetings 
  • Prepare presentations, letters, memos, monthly and quarterly reports, and charts using MS Office
  • Independently perform varied administrative duties related to functional area
  • Act as a liaison and work with building management and UHG facilities manager to maintain awareness of potential issues and or repairs needed within the office environment and coordinate maintenance and repair
  • Maintain and keep updated office and distribution lists
  • Maintain a high level of organization and attention to detail
  • Handle highly confidential information discreetly
  • Interact with individuals at all levels of the organization
  • Performs additional duties as assigned

Required Qualifications:

  • 5+ years of administrative experience in support of senior executives in a highly matrixed organization
  • Experience supporting C-suite executives
  • Experience supporting multiple executives within a fast-paced, dynamic environment
  • Experience arranging Microsoft Teams virtual meetings
  • Experience coordinating large meetings for senior leadership
  • Advanced proficiency within Microsoft Office Outlook, Excel, PowerPoint, Word, Teams
  • Proven ability to manage multiple tasks/projects and deadlines simultaneously with extreme attention to detail
  • Proven excellent verbal and written communication and grammatical skills
  • Proven to have a polished demeanor and be comfortable working with people at all levels
  • Proven executive presence and high degree of professionalism
  • Proven to be available and flexible to work weeknights and weekends, as needed
  • Proven comfortable working in ever changing, high demand environment
  • Ability to work in El Segundo, CA office

Preferred Qualifications:

  • 10+ years administrative support experience, 6+ of which have included support of senior executives
  • SharePoint experience

The hourly range for this role is $23.70 to $46.35 per hour based on full-time employment. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
