As the Corporate Front Desk/Admin Assistant, you will be instrumental in managing the flow of guests, visiting teammates and vendors who come through the corporate office each day. You will have the autonomy to efficiently and effectively manage your day and work as a contributing member of the corporate office along with providing support to cross functional teams as needed.

This position is full time, Monday – Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8:00am – 5:00pm EST. It may be necessary, given the business need, to work occasional overtime. Our office is located at 5130 SUNFOREST DR Tampa, FL.

We offer weeks of on-the-job training. The hours during training will be 8:00am – 5:00pm EST, Monday – Friday.

                             

Primary Responsibilities:

  • Onsite position in office 5 days a week
  • Greet all employees, guests and vendors in a professional and welcoming friendly manner
  • Point of contact for all general information and office assistance
  • Must have consistent, punctual and reliable attendance
  • Ability to work independently and prioritize daily functions
  • Escorting all vendors when onsite as required by UHG Security
  • Answering of in-office doorbell when away from main desk
  • Issuing of all suite access cards both temporary cards and permanent suite access cards which includes a photo
  • Troubleshoot access cards that teammates report is not working
  • Provide administrative support to cross functional teams as needed
  • Maintain copier/printer supplies and oversite of all OFL/WM copier/printers
  • Daily oversite and processing of all incoming faxes in RightFax (sent to main corp fax line)
    • Forwarding of faxes to medical records requires printing, scanning and emailing. Forwarding faxes to pharmacy for med refills
  • Manage all conference rooms to include:
    • Making calendar reservations for anyone reaching out for onsite mtg space
    • Keeping conf room calendars up to date and maintaining organization of conference rooms to include equipment, cleaning up of space and resetting of rooms daily
  • Ordering of meals for any onsite meetings
  • Contact for ordering of all supplies for FL departments as a BSL
  • Receiving all incoming packages via UPS/Fed Ex/USPS and notify teammates /department leads to pick-up
  • Ordering and maintaining UPS supplies
  • Process all incoming regular mail
    • Mail processing requires sorting to dept or clinic, scanning and emailing medical records as needed. Mail can require recipient research for forwarding
  • Process outgoing mail to clinics on weekly basis (Thursdays)
  • Posting of daily outgoing USPS mail or sending via UPS as needed outside of larger clinic mailing
  • Some heavy lifting may be required due to postal deliveries or mailings
  • Accepting and processing subpoenas and certified mail
  • Manage the postage machine to ensure postage funds and supplies are up to date
  • Oversee supplies in breakroom/café
  • Maintain general office supplies, notepads, pens, batteries etc.
  • Consistently exhibits behavior and communication skills that demonstrate commitment to superior customer service
  • Performs other duties as assigned

Required Qualifications:

  • High School Diploma/ GED OR equivalent required
  • Must be 18 years of age OR older
  • 3+ years of administrative experience
  • Ability to be punctual and have a reliable attendance
  • Ability to work independently, as well as collaboratively within a team environment
  • Knowledge of Microsoft Office, including Word and Excel
  • Must be able to commute daily Monday to Friday, 8:00am – 5:00pm onsite at 5130 SUNFOREST DR Tampa, FL

Preferred Qualifications:

  • Administrative Experience in a corporate environment

The hourly range for this role is $16.00 to $28.85 per hour based on full-time employment. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
