The Regional ASC Coordinator provides high-level administrative and operational, and compliance support across multiple ambulatory surgery centers (ASCs). Responsibilities include scheduling and facilitating leadership meetings, tracking data, maintaining regulatory compliance and accreditation documentation, and supporting cross-functional project coordination. This role ensures that necessary documentation and data are properly maintained and compliant with regional standards.

Collaboration with various departments is essential to streamline operations, improve workflow efficiency, and support strategic initiatives. Solid proficiency in Microsoft Word, Excel, and Smartsheets is required to manage reporting, project tracking, and compliance documentation effectively.

Primary Responsibilities:

  • Administrative & Operational Support
    • Provide comprehensive administrative support to the ASC Director/s and leadership teams across multiple surgery centers
    • Manage scheduling, coordination, and documentation of leadership meetings, ensuring agendas, meeting packets, meeting minutes are prepared and follow-up action items are tracked
    • Prepare, review, and distribute correspondence, reports, and presentations
    • Maintain organized records and ensure accessibility of critical operational documents
    • Assist with internal communications and interdepartmental coordination to support ASC initiatives
    • Serve as a primary liaison between ASCs, leadership, and corporate support teams to facilitate communication and collaboration and alignment of initiative objectives
    • Work cross-functionally with clinical, operations, finance, and compliance teams to drive efficiency and standardization across centers
    • Track and manage timelines for multiple concurrent initiatives, utilizing Smartsheets, MS Word, Excel, and other project management tools
  • Regulatory Compliance & Accreditation Support
    • Ensure all necessary documentation and data related to regulatory compliance and accreditation are properly maintained across all ASCs
    • Support regional leadership in preparing for audits and surveys by maintaining up-to-date compliance records
    • Monitor and track compliance deadlines for licensure, training, and policy updates, notifying stakeholders of required actions
    • Monitor and track compliance with state, federal, and accreditation body requirements, assisting with corrective actions as needed
    • Develop and manage reporting mechanisms to ensure ongoing adherence to regional regulatory standards
  • Data Management & Reporting
    • Compile, analyze, and maintain operational and compliance data for regional reporting purposes
    • Create and manage dashboards and reports using Microsoft Excel and Smartsheets to support leadership decision-making
    • Maintain in the development of benchmarking metrics to track ASC performance and compliance trends
    • Assist in data collection for strategic planning initiatives, ensuring data accuracy and relevance

Required Qualifications:

  • 1+ years of experience in an administrative or project coordination role
  • Advanced proficiency in Microsoft Word, Excel, and Smartsheets
  • Proven solid organizational skills with the ability to manage multiple priorities across various ASCs
  • Proven ability to work independently and collaboratively in a fast-paced, multi-site environment
  • Ability to travel occasionally to support multiple ASCs within the region (South Seattle area)
  • Ability to work in a hybrid role 3 days in our Seattle or Everett office

Preferred Qualifications:

  • 2+ years of experience in an administrative or project coordination role
  • Experience with project management software
  • Multi-site healthcare setting experience
  • Knowledge of regulatory and accreditation standards for ambulatory surgery centers
  • Proven excellent verbal and written communication skills with a professional demeanor

The hourly range for this role is $19.86 to $38.85 per hour based on full-time employment. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
