The Proposal Workflow Consultant is responsible for coordinating and managing the proposal mailbox where all proposal requests are received (5,000+ requests per year).  The workflow consultant triages all requests, coordinates team assignments, maintains and updates internal tracking tools including SFGO.

 

In addition to overseeing the proposal mailbox and tracking tools, the Proposal Workflow Consultant plays a pivotal role in ensuring the efficient operation of the RFP Team. This includes promptly reviewing and assigning incoming emails, collaborating with Sales and Client Management to secure all necessary proposal documentation, and coordinating with proposal leaders for the assignment of each request. The consultant also distributes RFP notifications, creates RFP folders on the shared drive, and is responsible for closing out RFPs and related projects in the mailbox and SFGO, while maintaining organized email records. Support for the RFP signature process as needed and all assigned tasks are consistently completed with accuracy and within established deadlines.

 

Primary Responsibilities:

  • Responsible for managing all workflow activities of the RFP Team which includes:
    • Managing all incoming emails, ensuring all requests are reviewed, managed and assigned as quickly as possible
    • Work with Sales and Client Management to ensure all proposal documents are received
    • Manage coordination with proposal leaders for assignment of each request
    • Distribute RFP Notification for each RFP
    • Create RFP folders on shared drive
    • Close out all RFPs and RFP Projects in the mailbox, SFGO, and emails are maintained in the RFP’s email folder
  • Support the RFP signature process when needed
  • Consistently complete assigned tasks with accuracy and within established timeframes
  • Participate in relevant training opportunities that will enhance both individual performance and overall department performance
  • Comply with the terms and conditions of the employment contract, company policies and procedures, and any and all directives (such as, but not limited to, transfer and/or re-assignment to different work locations, change in teams and/or work shifts, policies in regard to flexibility of work benefits and/or work environment, alternative work arrangements, and other decisions that may arise due to the changing business environment). Required Qualifications:

  • 2+ years of business experience working in a fast-paced and dynamic team environment with tight time frames and strict deadlines
  • Proficiency in Microsoft Outlook, Word, Excel and Teams
  • Proficiency in handling multiple tasks simultaneously and efficiently managing a high volume of requests
  • Excellent computer skills and able to learn/adapt to company-specific computer programs
  • Proven excellent written and verbal communication skills
  • Proven excellent verbal communication and interpersonal skills
  • Proven to be a self-starter and ability to work independently
  • Proven ability to work in a fast-paced environment with frequent tight timeframes. This job requires detail-oriented project coordination skills with excellent organizational skills and a focus on details and quality
  • Proven ability to exercise good judgment when escalating non-standard requests
  • Proven ability to communicate seamlessly within the team
  • Proven ability to shift priorities quickly and stay in tune with business upgrades and processes
  • Proven ability to process and detail oriented with a forward thinking ability to present solutions and identify efficiencies

 

Preferred Qualification:

  • Familiarity with Salesforce
