This position is full time (30 hours/week) Monday – Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 10:00am – 4:00pm. It may be necessary, given the business need, to work occasional overtime. Employees are required to work some days onsite and some days from home. 

We offer 6 – 12 weeks of paid training. The hours during training will be 10:00am to 4:00pm, Monday – Friday.  Training will be conducted onsite.

Primary Responsibilities:

  • Releases clinical information from the patient health record following established procedures.  Maintains the confidentiality of all patient information.  Ensures that Patient Health Information (PHI) is released to authorized individuals following established procedures.
  • Performs all HIPAA required functions for the release of medical records. Reviews and accepts requests for release of information or viewing of PHI, adheres to HIPAA timelines for processing patient requests (requests extensions when appropriate). Uploads, mails, faxes and encrypts records to send securely by CD, USB or email according to HIPAA regulation.
  • Identifies when special records may be required such as mental health, statutorily protected, substance use disorder, radiology films and billing records. Processes HEDIS requests as well as other payer audits.
  • Processes Behavioral Medicine requests after identifying appropriate authorization has been provided. Works with Behavioral Medicine physicians to ensure patient’s mental health/safety are considered before releasing records.
  • Uses multiple portals to monitor and process requests from such sites as Disability Determination Services and Disability Evaluation Services.
  • Answers phone calls from patients and customers to ensure inquiries are handled appropriately and in a timely manner. Accepts credit card payments through the phone and use of encrypted credit card machines.
  • Assists patients in person when copies of records are required immediately. Works with constable to accept or reject subpoenas when they are delivered, checking to make sure they are for Reliant Medical Group or a Reliant physician before accepting them.
  • Notifies physicians of requests from attorneys for narrative reports to ensure compliance with the Experts and Witnesses Treating Physicians Policy. Works with the Risk Management Department on any requests that could be a potential compensable event.
  • Contacts attorneys in writing or by phone when clarification or denial of a request is required. Certifies medical records for admissibility into court.
  • Sends out bills when appropriate to lawyers, insurance companies and patients. Makes daily deposits of money received through check, cash or electronic payment. Posts payments to the patient account to maintain appropriate balance.
  • Responds to incoming emails, checks for spam/viruses and converts for processing into EMR.
  • Works in Adobe, performing tasks such as redacting, combining files, extracting files, reducing file sizes, rotating pages and securing files.
  • Changes the patient’s primary care physician when transferring out and contacts the necessary staff to coordinate cancelling of appointments/tests and to maintain real time provider patient panels.
  • Assists Manager with communication to patients on process of amendment requests. Researches medical record upon receipt of amendment request to identify areas of relevance.
  • Maintains awareness of state and federal legislation and statutes affecting release of and access to patient health record information.  Attends seminars as appropriate. Reads all materials distributed by Director and Manager.
  • Serves on work teams as patient information expert as appropriate. Explains to various staff the laws governing release of patient health information.
  • Complies with health and safety requirements and with regulatory agencies such as DPH, etc.
  • Complies with established departmental policies, procedures, and objectives.
  • Performs other similar and related duties as required or directed to support the department or organization
  • Regular, reliable and predictable attendance is required.

Required Qualifications:

  • High School Diploma / GED
  • Must be 18 years of age OR older
  • 2+ years of customer service experience
  • Experience with Microsoft Word, Microsoft Excel and Microsoft Outlook
  • Ability to work part time from Monday – Friday between 10:00am – 4:00pm including the flexibility to work occasional overtime given the business need

   
Preferred Qualifications:

  • Experience working within the health care Industry and with health care insurance
  • Experience working in a hospital, physician’s office or medical clinic setting
  • A clerical or administrative support background
  • Experience working in a call center

  • Reside within commutable distance to the office at 385 Grove Street Worcester, MA
  • Ability to keep all company sensitive documents secure (if applicable)
  • Required to have a dedicated work area established that is separated from other living areas and provides information privacy.
  • Must live in a location that can receive a UnitedHealth Group approved high-speed internet connection or leverage an existing high-speed internet service.
