The Associate Administrator assists the Center Administrator in managing the overall operations (financial, facility/equipment, risk management, patient care, teammate management, etc.) for clinical services and patient care in a center.

 

Schedule: Monday through Friday 8:00 am to 5:00 pm

Location: 461 W. OAK STREET- Suite A, Kissimmee FL 34741

 

Primary Responsibilities:

  • Consistently exhibits behavior and communication skills that demonstrate commitment to superior customer service, including quality and care and concern with each and every internal and external customer
  • Represents the Company in a professional manner, following all Company policies and procedures
  • Uses, protects, and discloses patients’ protected health information (PHI) only in accordance with Health Insurance Portability and Accountability Act (HIPAA) standards
  • Performs additional duties as assigned
  • Must have consistent, punctual, and reliable attendance
  • Ability to travel may be required

Financial Management (Assoc. Administrator)

  • Formulates budget and monitors financial results, variance reporting and action plans to meet established budget objectives
  • Reviews and manages income statements and general ledgers
  • Manages personnel and scheduling needs specific to patient access

Facility/Equipment Management (Assists Center Administrator/Regional Manager of Operations) with:

  • Supervises inventory management including purchasing, product selection, supply usage and reporting
  • Ensures equipment and supplies are maintained to provide quality care and assure the safety of patients and staff
  • Participates in the development and periodic revision of facility-specific policies and procedures with the Center Administrator/Regional Manager of Operations/Medical Director to ensure consistent, efficient and safe operation of the facility

Risk Management/Quality Assurance Compliance (Assists Center Administrator with):

  • Ensures compliance with Company policies and procedures in accordance with state and federal regulations for patient care and services (HIPAA, CMS, OSHA, or other governing agencies)
  • Creates and implements any corrective action needed as a result of internal or external quality assurance, Medicare, OSHA or other governing agencies
  • Reports and documents all teammate injuries according to established policy and procedures
  • Knows, understands, follows, and implements Company safety and security policies and procedures

Patient Care Management (Assists Center Administrator with):

  • Ensures placement of policy, procedures, and resources to help the patient assume responsibility for his/her own health maintenance. 
  • Maintains open communication with physicians, nurse practitioners and other healthcare professionals regarding patient care
  • Administers policies, procedures, and resources to ensure safe, appropriate treatment of patients. Issues and documents corrective action as needed when policies and procedures are not followed
  • Maintains and communicates and executes facility emergency management programs and acts swiftly, confidently in an emergency

Teammate Management (Assists Center Administrator with):

  • Responsible for all teammate activity such as hiring, promoting, job performance evaluations, and disciplinary actions (up to and including terminations) with appropriate approval from the Administrator, Regional Manager and/or People Services Director/Manager
  • Maintains Teammate files including all required and current documentation as per Company policy and applicable laws and regulations
  • Evaluates records and processes teammate compensation according to company policy and upon approval by Administrator and/or Regional Manager
  • Provides leadership to direct reports including assistance to overcome any obstacles encountered during efforts to complete projects or assigned tasks
  • Know, understand, implement, follow, and communicate to teammates all Company employment policies and procedures, awards, and other opportunities within company and foster a positive work environment 
  • Address teammate relations issues appropriately and escalate as necessary
  • Facilitates teammate development (coaching, mentoring, training, outside training); collaborates with direct reports to create professional development goals
  • Maintains familiarity with and communicates to teammates Company programs impacting teammates
  • Provides work direction for department teammates
  • Determines staffing plans that promote the most effective use of all teammates; ensures coverage during teammate absences
  • Creates, maintains, and communicates efficient and timely employee schedules according to the needs of the center
  • Knows and understands basic wage and hour laws, federal, state and local laws and regulations, Medicare, and legislation affecting employment
  • Reviews and approves timecards of all direct-report teammates for payroll
  • Tracks overtime, attendance, and PTO (approves or declines as appropriate)
  • Researches and responds to questions regarding payroll issues
  • Develops and conducts educational programs to keep teammates up-to-date on Company policies, new laws, and regulations impacting work, and other information necessary to maintain teammates’ knowledge of department processes and goals
  • Ensures mandatory in-services and annual competencies are completed as required
  • Performs other duties as assigned

Required Qualifications:

  • High School Diploma / GED (or higher)
  • 1+ years of healthcare leadership experience
  • Intermediate level of proficiency with Microsoft Excel, Word, Outlook, and PowerPoint

  

Preferred Qualifications:

  • Bilingual English/Spanish
  • 2+ years of experience in a healthcare setting
  • Management experience strongly
  • Other qualifications and combinations of skills may be considered at the discretion of the Center Administrator, Regional Manager or Operations and /or Regional Vice President
  • Ability to learn other systems applicable to Clinical operations
  • Ability to interact and verbally communicate effectively with patients and all levels of personnel in a professional, courteous and effective manner with excellent customer service skills
  • Ability to work in a fast-paced environment.  Ability to multi-task; must possess strong organizational and time management skills
  • Ability to multi-task and work at a fast pace with accuracy 
  • Proven results and goal-oriented with a philosophy for quality improvement
  • Proven high job accuracy, efficiency, and dependability
