Executive Assistant to C&S Health Plan CEO – Hybrid in East Brunswick, New Jersey

The role of the Executive Assistant is to provide a wide variety of executive – level- administrative support to members of the C&S Senior Leadership Team of the local health plan located in East Brunswick, NJ. The role serves as the administrative liaison for all internal and external inquiries related to the assigned executive and/or administrative department. This role requires individual judgement for assigned tasks while collaboration for many team meetings and priority requests.
This position will be Hybrid, will report to East Brunswick, NJ, office minimum of 3 days per week.
May be required to travel 25% of the time within New Jersey.
Duties may also include more traditional administrative / clerical support roles including answering the telephone, typing/word processing of documents, maintaining calendars and setting up meetings, copying, faxing, greeting visitors, setting up files, tracking expenses, and coordinating building and equipment maintenance. This is a fast-paced working environment that requires the ability to multitask with attention to detail and excellent organizational skills.
This position will also have BSL (Business Segment Liaison) responsibilities including new hire onboarding / offboarding, equipment ordering and set-up, software purchases and office supply ordering. Senior Administrative work will involve direct client interaction.
Primary Responsibilities:
- Provide primary support to the CEO with schedule, coordinate and manage meetings, expenses & travel
- Maintain and communicate sensitive or confidential information in accordance with internal policies and procedures for the office of the CEO
- Manage active calendars, resolve scheduling conflicts as they arise, prioritize to ensure effective time management for the CEO and other executives
- Create, prepare, and distribute all meeting materials
- Maintain charitable/community relations and promotional items budget and sponsorships
- Ensure all resources and technology is set up and working for all meetings
- Make travel arrangements for the CEO and executives
- Organize logistics of large or offsite events, using internal resources as needed
- Compile and integrate information needed to complete reports and documents
- Prepare or format documentation needed for various audiences including health plan Town Halls and Quarterly Business Reviews.
- Perform BSL (Business Segment Liaison) to perform onboarding new employees, ordering hardware, & software, change seat assignment on floor plan and other BSL duties
- Greet guests for CEO and other executives
- Maintain and keep updated office and CEO distribution lists
- Possess solid verbal and written communication skills
- Creates and modifies various documents using Microsoft Office
- Maintains Outlook calendar(s) in current and accurate status
- Creates / prepares meeting materials (e.g., PowerPoint deck; agendas) and ensure distribution to appropriate individuals in a timely manner
- Schedule, coordinate, and/or set up resources and technology needed for meetings/events
- Coordinates meetings and conference calls as needed or anticipated
- Act as a liaison and work with building management and UHG facilities manager to maintain awareness of potential issues and or repairs needed within the office environment and coordinate maintenance and repair
- Answer phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner
- Prepares meeting materials and assists with the development of PowerPoint presentations
- Keeping inventory of all office supplies and placing orders for replenishment as needed
- Records minutes at various meetings and archives them accordingly
- Performs all other related duties as assigned
- Consult and communicate with internal and external customers to identify and provide resources
- Research and provide needed information to respond to requests in a timely matter

Required Qualifications:
- 3+ years of administrative support to senior leadership in a corporate setting
- 3+ years working experience with Microsoft Office (MS Word – creating, editing, and saving documents), MS Outlook (email and calendar management), MS PowerPoint (creating, editing, and presenting slide decks)
- Experience working in a fast-paced, matrix organization
- Proficient in MS Excel (filtering, sorting, and editing data in spreadsheets, formulas and creating pivot tables)
- Reside in a commutable distance to/from East Brunswick, New Jersey
- Willing and able to obtain notary designation
- Willing and able to travel 25% +/- depending on business need
Preferred Qualifications:
- 5+ years of experience supporting C-suite & VP level or higher management
- Experience in a healthcare environment
- Experience with Project Management
- Intermediate or greater proficiency in MS Visio, Access and Concur
- Business Segment Liaison or onboarding experience (or willingness/ability to become certified as a UnitedHealthcare BSL)
- Have travel experience; experience supporting an executive with a busy travel schedule

The hourly range for this role is $23.70 to $46.35 per hour based on full-time employment. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
