Role Description
Responsible for the supervision and coordination of day-to-day clinic operations. Monitors activities of all office operations components to ensure the clinic meets its objectives. Provides expertise and leads by example to ensure all patients receive high quality, safe, and efficient care.
Primary Responsibilities:
- Organizational accountabilities, including: Comprehends, demonstrates and furthers the Organization’s Mission, Vision, and Values in behaviors, practices, and decisions and inspires others to do the same
- Leadership accountabilities, including: Provides department supervision in a manner that promotes a consistent, effective culture to deliver on Optum’s Medical Group’s Elements of Excellence and in accordance with Optum’s Leadership Competencies. Demonstrates effective written, verbal and electronic communication that is professional in both content and delivery. Demonstrates the ability to gain trust and respect of the physicians, staff, and peers. Effectively models interpersonal and problem solving skills to aid in the resolution of issues in a timely manner
- Patient Care Delivery Systems accountabilities, including: Helps establish/implement goals, objectives, policies, procedures, and systems for the assigned clinical areas. Compiles and prepares data in a timely, accurate, and efficient manner. Actively participates in quality improvement initiatives (i.e. CQI, TQM, Lean)
- Clinical Care Management accountabilities, including: Oversees and directs the day-to-day functions of the clinic staff and its programs and activities to insure compliance, efficiency, and patient satisfaction. Addresses issues escalated by physicians, employees, and patients; seeks out appropriate leaders or partners to problem solve and process improve. Functions as back up, as needed, for office functions
- Financial Management accountabilities, including: Under the direction of the manager, the supervisor may support inventory control processes and purchasing in accordance with established procedures. Understands and adheres to all financial and cash management policies and procedures, and leads others to do the same
- Human Resources Management accountabilities, including: In partnership with the manager, conducts job interviews and employee selection in a manner that supports effective staffing. Performs employee onboarding and orientation as well as evaluations to promote employee engagement, development and staff productivity. In collaboration with the manager, initiates activities to promote employee and physician engagement. Utilizes formal and informal recognition resources to recognize staff and provider accomplishments. Conducts training activities with staff and providers to support operational functions. Participates in professional development activities to keep current with health care trends and practices
- Accounts Receivable Management accountabilities, including: Understands and utilizes approved collection practices in the front and back office, training staff to do the same. Understands and utilizes approved registration practices in the front office, training staff to do the same. Works with the Manager of Coding to ensure accurate and compliant coding practices, and training for on-site coders and providers. Actively engages in denial management reporting and process improvement towards positive end result
- Compliance accountabilities, including: Department compliance with federal, state, and other facility/department specific accrediting and certifying bodies, as applicable. This may include: OSHA, CLIA, Safety and Risk Management guidelines, Personnel policies and procedures
- Information Management accountabilities, including: Understands and abides by privacy laws (i.e. HIPAA) and organizational policies and procedures regarding health information management, safeguarding protected health information (PHI)
- Facility Management accountabilities, including: Promotes safety and security within the clinic. Actively participates in emergency preparedness activities, including drills, simulations and training with staff and providers. Ensures that material safety data sheets (MSDS) are accessible and that staff is familiar with workplace hazards and the process of responding to workplace exposures, accidents, injuries, and illnesses
- Performs related work as assigned

Required Qualifications:
- 1+ years of supervisory experience in a healthcare organization
- EHR (EMR) experience (Epic preferred)
Preferred Qualifications:
- Medical group or ambulatory care experience
- Clinical experience (MA or LPN)
- Demonstrated success with the application of basic formal performance improvement methodologies (e.g. Six Sigma, Lean)
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). No matter where or when you begin a career with us, you’ll find a far-reaching choice of benefits and incentives. The salary for this role will range from $58,800 to $105,000 annually based on full-time employment. We comply with all minimum wage laws as applicable.
