As an Associate Patient Care Coordinator at MedPsych Systems (part of Optum Behavioral Care), you will be responsible for providing support to patients and clinical staff. The Associate Patient Care Coordinator will support providers with the check in and check out process for patients, register new patients, prepare paperwork and review for accuracy, verify completion of consent and insurance eligibility, process time of service collections, handle existing patient communications, manage internal referrals, and ensure work locations are presentable and welcoming.
Location: 5500 Bee Ridge Rd. Sarasota, FL. Travel will be required to Venice, Bradenton, Lakewood Ranch, and other Sarasota locations for marketing efforts and other business needs.
Schedule: Monday-Friday, 8am-5pm EST.
Primary Responsibilities:
- Warmly welcome patients upon arrival and manage check-in processes while maintaining appropriate waiting times
- Perform check-in and check-out procedures, including verifying patient demographics and insurance, obtaining necessary pre-authorizations or precertification’s, and collecting required documentation
- Accurately collect and process co-payments, co-insurance, and deductibles; issue receipts and maintain financial records
- Answer incoming calls, schedule appointments, redirect calls as needed, respond to inquiries, and take detailed messages
- Ensure all patient correspondence is properly scanned, filed, and documented; process medical records requests in compliance with privacy regulations and maintain accurate logs
- Support outreach efforts by building and maintaining partnerships with local organizations, schools, and healthcare providers
- Uphold brand consistency across all communications while demonstrating sensitivity to mental health topics and patient confidentiality
- Foster positive and professional relationships with patients, colleagues, and the public to support a welcoming and inclusive environment
- Travel to other clinics to support marketing and outreach efforts
- Assist with building and creating a referral program
- Perform additional administrative duties and support tasks as assigned by supervisors

Required Qualifications:
- High School Diploma/GED (or higher)
- 3+ years of customer service experience
- 1+ years of experience in marketing or related role
- Willing and able to travel to other FL locations with mileage reimbursement
- Access to reliable transportation
Preferred Qualifications:
- 3+ years of experience with medical office processes
- EMR (Athena) experience
- Behavioral health experience
- Beginner level of proficiency with Microsoft Excel, Word, Outlook, and PowerPoint
- Strong written and communication skills
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $16.00 to $27.69 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
