Central Services Manager

The Central Services Manager oversees the management of centralized document indexing, centralized insurance eligibility verification, centralized referral and prior authorization processing, and medical records clerks. The Central Services Manager is responsible for managing the day-to-day operations of these areas, strategizing long-term improvements, and working with other leaders to provide optimal support to the organization. This role requires a well-rounded knowledge of all ProHealth sites, our services, and workflows.
This position is full-time (40 hours/week) Monday – Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 8am – 5pm. It may be necessary, given the business need, to work occasional overtime.
We offer 3-4 weeks of on-the-job training. The hours of training will be aligned with your schedule.
Primary Responsibilities:
- Manage daily work queue assignments and ensure adequate coverage across all operational areas
- Lead and facilitate team meetings, including morning huddles and monthly staff sessions, to promote communication and alignment
- Foster a positive and engaging work environment that supports staff development and retention
- Onboard, train, and mentor new team members, ensuring a smooth transition and understanding of departmental workflows
- Develop and maintain accountability structures to ensure timely and accurate completion of tasks
- Monitor and support insurance verification processes, ensuring adherence to departmental turnaround standards
- Provide guidance on eligibility, registration issues, and prior authorization processes
- Educate Practice Managers and Administrative Leads on patient access workflows and best practices
- Collaborate with practices to coordinate insurance enrollment and eligibility follow-up
- Respond to lab eligibility and practice communications via EPIC or email in a timely and professional manner
- Maintain proficiency in navigating payer portals and interpreting insurance data
- Ensure accurate entry of valid insurance information into patient charts
- Contact patients to verify insurance details or confirm prior authorization requirements
- Participate in organizational projects and workflow improvement initiatives
- Escalate complex issues to the Supervisor and Central Services Manager as appropriate
- Contribute to the development and refinement of departmental policies and procedures
- Perform additional responsibilities as assigned to support departmental and organizational success

Required Qualifications:
- High School Diploma / GED or equivalent work experience
- Must be 18 years of age OR older
- 3+ years of experience in medical office oversight
- 2+ years of experience with electronic health records
- 2+ years of experience with insurance procedures
- 2+ years of experience obtaining referrals and prior authorizations
- Ability to travel up to 10% of the time

Preferred Qualifications:
- 1+ years of experience with EPIC
- Written and oral communication skills
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $34.23 – $61.15 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
