The Department Support Specialist is an entry level role that is responsible for supporting our operational teams by reviewing and handling incoming mail, printing appeals and claims, supporting documentation, compiling, and mailing. The role is responsible for ensuring the security of PHI while working thru these requests, ensuring outgoing mail is addressed to the proper recipient, and tracking information is applied per guidelines. This role will also assist in supporting Health care representatives & management by participating in the QA process of the team’s daily output.

This position is full time, Monday – Friday. Employees are required to have flexibility to work any of our shift schedules during our normal business hours of 7:30 AM – 4:30 PM EST. It may be necessary, given the business need, to work occasional overtime or weekends.

We offer 4 weeks of paid on-the-job training. The hours during training will be 8:00 AM – 5:00 PM EST from Monday – Friday.

 

Primary Responsibilities:

  • Ensuring the security of PHI while working through the mail and support processes
  • Maintaining appropriate system access needed to perform daily job functions
  • Open, sort and route incoming Email to the appropriate area or delegate
  • Running daily CENSUS to identify and assign referrals to Healthcare representatives
  • Processing of PEN babies and Share of Cost applications
  • Printing documentation such as claims, medical records, itemized bills and any necessary supporting documenting communicated by the operational team
  • Ensuring accuracy and timeliness of outgoing mail, claims, and documentation
  • Applying appropriate tracking / mailing procedure based on defined guidelines
  • Maintaining and updating inventory, tracking, mailing files and database systems
  • Assisting with routine QA on work performed by team
  • Collaborating on creating and providing reporting that can be shared with upper leadership and areas being supported on teams’ overall performance
  • Operating photocopiers, scanners, copy machines, and computers
  • Assist with ordering supplies when to ensure ongoing ability to perform ongoing daily functions, i.e., paper, toner, claim forms, envelopes etc.

Required Qualifications:

  • High School Diploma / GED
  • Must be 18 years of age OR older
  • 1+ years of Clerical experience
  • Bilingual fluency in English and Spanish
  • Knowledge of Adobe including the ability to read, open, and save PDFs
  • Microsoft Office experience, including Microsoft Word (able to create, open, edit, save, print, and send word documents), Microsoft Excel (spreadsheets, and powerpoint presentations), Microsoft Outlook (emails and calendar events), and Microsoft Teams (ability to start and join meetings, share screen, turn on and off camera)
  • Ability to work onsite every day at Jackson Memorial Hospital, 1611 North West 12th Avenue, Miami, FL, 33136 (it is not possible to work from home in this position)
  • Ability to train for the first 4 weeks between the hours of 8:00 AM – 5:00 PM EST from Monday – Friday
  • Ability to work any of our full time shift schedules during our normal business hours of 7:30 AM – 4:30 PM EST from Monday – Friday, including the flexibility to work occasional overtime or weekends based on business need

 

Preferred Qualifications:

  • 1+ years of Claim Processing experience OR 1+ years of Billing Claims experience
  • Experience with working in a patient facing healthcare role
  • Clerical experience in healthcare

 

Soft Skills:

  • Previous experience in a position that required a high level of organization
  • Previous experience in a fast paced, independent environment that required meet productivity expectations
  • Ability to work independently
  • Ability to work collaboratively within a team
  • Follow – up and organizational skills
  • Communication skills – both written and verbal

 

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $16.00 – $24.23 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
