Under general supervision, provides functional and technical support for the schedule templates within Epic. Serves as a liaison between service line operations and IT, to coordinate and help improve access and capacity for each service line. Gathers and compiles information and reports from multiple systems and departments to identify access barriers related to templates and Epic decision trees, while optimizing the use of other Epic functionality, specifically related to Cadence/scheduling/access. Understands and assist with a wide range of duties pertaining to building provider’s scheduling templates and performs in-depth analysis of template management workflows and auditing to support the governance of template features in an outpatient setting. Responsible for oversight and implementation of template modifications and scheduling operations. Processes information and maintains reports. Prepares and creates written documentation for all changes to systems. Serves as first line of support to users in the Service Line, provides education and ongoing communication. Performs access analysis and considers the business implications of the application of Cadence and template updates to the current business environment. Understands and assists with creating and building workflows within area of focus as well as any overlapping processes.

 

Functions as a high-level individual contributor and acts as internal consultant providing technical guidance and leadership. Works with little supervision performing assignments that are broad in nature, usually requiring originality and ingenuity, with appreciable latitude for un-reviewed action or decision-making. Able to handle complex issues and assignments. Serves as an internal resource and consultant on issues that require the evaluation and consideration of multiple courses of action.

Primary Responsibilities:

  • Performs Analyst duties within broadly defined specifications of moderate to high complexity. Works with more complex sets of issues requiring an advanced skill base within application design 
  • Has appreciable latitude for un-reviewed action or decision-making. Consults with supervisor on specific matters only where clarification, interpretation, or exception to organization’s policy may be required
  • Responsible for high level of Cadence analysis. Impact of decisions can reach across the entire enterprise/organization
  • Oversees the design, creation, and building of scheduling templates. This includes evaluating different scheduling functionality to enhance template design to improve throughput and/or access. May guide or mentor lower level analysts
  • Responsible for moderately complex components of the initial build and maintenance of physician schedule templates within Epic. Prepares detailed and technical design and programming specifications
  • Identifies and completes necessary modifications to scheduling templates
  • Facilitates dialogue around additional enhancement opportunities that may improve workflows, access, or leverage automation
  • Consistently meets or exceed Atrius/Reliant standards when evaluating and resolving requests
  • Documents and revises master files to track changes and ensures that they are always up-to-date
  • Evaluates requests for schedule updates and determine if they meet Service Line standard for access
  • Tests updates to functionality to ensure they are ready for Production
  • Partners with IT on Decision Tree updates
  • Maintains accurate provider records to ensure Epic is the source of truth for provider accuracy
  • Collaborates with Ops and IT to determine need for new visit types, block types, or other
  • Cadence tools to improve scheduling accuracy
  • Reviews dashboards, standard reports, and schedules to remove barriers to utilization
  • Escalates template risks/barriers to Service Line Management
  • Troubleshoots problems and questions generated by users
  • Has a solid understanding of data and how to manipulate large sets of raw data and applies it regularly to assignments
  • Participates in regular calls with Epic and operations to troubleshoot issues and solutions
  • Performs other duties as assigned

Required Qualifications:

  • High School degree (or equivalent education, training or experience)
  • 5+ years of experience with Epic Software with 3+ years in Cadence OR demonstrated ability in the past to meet the requirements listed in this position
  • Experience managing provider templates in Epic and a demonstrated ability in the past to meet the requirements listed in this position 
  • Proficient in using Epic/Cadence
  • Technical aptitude to fully comprehend complex technical details and understand EMR configuration/design
  • Knowledge of Word, Excel, PowerPoint, and internet and database software 
  • Skilled in use of computer 
  • Well versed in industry rules and regulations
  • Basic project management skills (ability to lead meetings, prioritize, resolve conflicts, maintain issues list, manage project plan) 
  • Proven success implementing and managing Cadence systems and excellent Cadence export and
    import skills 
  • Proven excellent communication and follow-up skills 
  • Proven ability to communicate effectively, written and verbal
  • Demonstrated wide degree of creativity and latitude
  • Demonstrated good working relationships and interactions with business partners
  • Demonstrated ability to actively investigate and pursue solutions that are outside the realm of previous experience
  • Demonstrated ability to manage multiple projects and deadlines concurrently required. Meet all deadlines 
  • Demonstrated ability to utilize online and written materials to determine application and workflow solutions for organizational challenges 
  • Demonstrated ability to function effectively as a team player who consistently meets expectations of internal and external customers while maintaining appropriate personal and professional interactions 
  • Demonstrated ability to provide excellent customer service, finding creative ways to avoid saying “no” while compromising with and educating users

Unless certification, licensure or registration is required, an equivalent combination of education and experience, which provides proficiency in the areas of responsibility listed in this description, may be substituted for the above requirements.

Preferred Qualifications:

  • Bachelor’s degree 
  • Epic Cadence certification 
  • MS Visio and/or Access knowledge

Physical Requirement:

  • Physical health sufficient to meet the ergonomic standards and demands of the position. Busy office environment with frequent deadlines and interruptions

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $23.41 to $41.83 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
