A typical day includes supporting Medical Billing operations by coordinating provider training schedules, reviewing billing and payment inquiries, and assisting with payment posting and reconciliation in EPIC. The role collaborates with cross functional teams to resolve billing issues, ensure contract compliance, and follow up on time sensitive tasks. Daily responsibilities also involve supporting department leadership with meeting coordination, reporting, and communication, managing departmental inboxes and data entry, and providing triage support for misrouted customer inquiries.
This position is full time, Monday - Friday. Employees are required to have flexibility to work during our normal business hours of 7:30 am - 4:00 pm. It may be necessary, given the business need, to work occasional overtime.
We offer 4-6 weeks of paid training. The hours during training will be aligned with your schedule. Training will be conducted onsite.
Primary Responsibilities:
- Assist with scheduling provider coding education trainings achieving perfect completion rate for new hires and continuous learning trainings for existing specialists.
- Review and decide on inquiries from Accounts Payable regarding payment to vendors
- Review and decide on when to apply or waive charge and cost on services that will be charged to the customer based on patient financial assistance programs after thorough review of billing account and health plan documentation
- Coordinate payment activities for medical billing team directing various payment types to teams and posting payment items to EPIC EMR patient billing accounts and batch reconciliation procedures including validation of health plan and patient payment Advise team members when missing time sensitive ongoing functions that require follow - up appointments to be coordinated with information technology and business leads.
- Support department leader and other managers in managing meeting schedules, coordinate multi-stakeholder meetings, data collection and standard report preparation with narratives and presentation designs.
- Analyze claims, incoming mail, lockbox correspondence, attorney requests, faxed information and any other billing correspondence to ensure contract specifications are met as well as ensuring information is disseminated and handles according to established protocols.
- Ongoing communication within Medical Billing department and other operational departments to ensure business items , committee and operational meeting agendas and notes, follow-up are received from providers, clinical leaders and billing contacts and processed in a timely manner
- Identify issues that require communications with various internal departments to facilitate scheduling, coordinating of cross functional team projects, and organizational plans.
- Assist in decision making based on process requirements and guidelines
- Assist with writing and maintaining presentations containing financial and business related content and other presentational documents including data, business process and production of its daily workflow to include work instructions, standard operating procedures and reference materials
- Monitor departmental and company tasks and assignments to determine if immediate attention is required by emailing, meeting or calling another operational unit, provider or employee to ensure it gets completed in order to meet departmental / company goals and turn around expectations
- Perform data entry, manage department email inboxes and sort and distribute emails to appropriate team members
- Provide operational triage assistance and basic education for misrouted customer inquiries
- Act as a resource and liaison to support team members and internal / external customers with processes, training, education and issue resolution related to services provided based on contract guidelines and contractual requirement while building strong working relationships

Required Qualifications:
- High School Diploma / GED OR equivalent work experience
- Must be 18 years of age OR older
- 1+ years of similar or related work experience in healthcare administrative function
- Experience working in a medical office
- Proficient computer skills including Microsoft Office suite; Microsoft Power Point (design and create slides based on provided content) Microsoft Word (ability to create, copy, edit, save and send documents), Microsoft Excel (ability to create, copy, edit, save and send spreadsheets) and Microsoft Outlook (email and calendar management)
- Ability to work full time, Monday - Friday. Employees are required to have flexibility to work any of our 8-hour shift schedules during our normal business hours of 7:30 am - 4:00 pm. It may be necessary, given the business need, to work occasional overtime.
Preferred Qualifications:
- Basic understanding of medical finance and medical billing operations
- Knowledge of medical billing and coding terminology and concepts.
- EPIC Healthcare EMR system knowledge and experience
- Leadership experience

- Required to have a dedicated work area established that is separated from other living areas and provides information privacy.
- Must live in a location that can receive a UnitedHealth Group approved high-speed internet connection or leverage an existing high-speed internet service.

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $17.98 - $32.12 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
