This is a GL25 Executive Assistant position based in Dublin, supporting senior leadership/ELT within the Rx business. This is a key role in the Rx Ire organization and has come about following internal team movements.

Primary Responsibilities:

Calendar Management

  • Complex diary and calendar management for two senior leaders
  • Create, maintain calendars for senior executives, avoiding scheduling conflicts by working closely with your counterparts across the organization

Travel Coordination

  • Make travel arrangements for senior executives (e.g. booking flights, hotels, ground transport etc.)
  • Collaborate with counterparts in other businesses to ensure that all requirements are in place for your leaders during their visit

Expenses Management

  • Process all expenses on behalf of senior executives, including travel expenses and ad hoc expenses
  • Manage any other spend required by your execs department, e.g. raising PO's and processing expenses in a timely manner

Visitors Coordination

  • Coordinate visits by senior executives to our Ireland offices, book meeting rooms, coordinate diaries
  • Book all catering as and when needed
  • Providing local admin support to visitors while on site as appropriate

Other

  • Day-to-day administrative support to two senior leaders
  • Demonstrate understanding of relevant business processes e.g. purchase orders, travel policies, expense policies
  • Preparation and development of PowerPoint presentations, PDFs and executive materials
  • Generation and organisation of leadership documentation and communications
  • Supporting broader business coordination and stakeholder engagement across Ireland and the US
  • Building and maintaining effective relationships across multiple functions and seniority levels
  • Providing support beyond traditional diary management, acting as a trusted administrative partner
  • Utilising technology and AI tools to improve efficiency and productivity where appropriate
  • Complete other assigned admin duties as needed

Required Qualifications:

  • Proven experience supporting executive leaders
  • Demonstrated solid verbal and written communication skills
  • Demonstrated intermediate to advanced proficiency in Microsoft Office applications, including Word, PowerPoint, and Excel

Preferred Qualifications:

  • Proven solid experience in a Senior Administrative Assistant or Executive Assistant role
  • Proven experience supporting senior leaders, ideally at C suite or equivalent level (e.g., Chief HR Officer)
  • Demonstrated solid organizational and prioritization skills
  • Demonstrated attention to detail
  • Proven experience working within large, complex organizations
  • Demonstrated solid proficiency in Microsoft Office applications, particularly PowerPoint and document creation
  • Demonstrated experience in project management
  • Proven experience within insurance, financial services, healthcare, or similarly complex regulated environments
  • Demonstrated ability to be comfortable navigating relationships across geographically dispersed organizations
