The Executive Assistant serves as a trusted partner to People Team leaders, providing proactive administrative, operational, and organizational support in a fast-paced enterprise environment. The role enables leadership effectiveness through exceptional calendar management, executive communications support, meeting and event coordination, travel management, leadership team administration, and office operations.
This individual anticipates needs, exercises sound judgment, manages highly sensitive and confidential information, and serves as a key point of coordination across executives, People Team leaders, and business partners. Based in the Optum Eden Prairie office, the role provides a high-touch, in-person experience for executive support, leadership meetings, employee events, executive visitors, and senior leadership interactions.
Primary Responsibilities:
- Executive and Leader Support
- Serve as a trusted partner to People Team leaders, helping maximize leadership effectiveness and organizational impact
- Manage highly complex and dynamic calendars, balancing competing priorities, executive commitments, travel schedules, leadership forums, and enterprise initiatives
- Anticipate the needs of supported leaders and proactively identify opportunities to improve effectiveness, efficiency, and stakeholder engagement
- Coordinate preparation for executive meetings, talent reviews, leadership forums, enterprise events, and other high-visibility activities
- Draft, edit, proofread, and organize executive communications, presentations, briefing materials, correspondence, and reports
- Act as a trusted representative of People Team leaders, exercising sound judgment and professionalism with senior leaders, external stakeholders, and team members
- Monitor priorities and ensure critical actions, commitments, and deliverables are completed on schedule
- Leadership Team Operations
- Coordinate leadership team operating rhythms, including staff meetings, planning sessions, talent discussions, business reviews, and organizational events
- Prepare agendas and meeting materials, capture decisions and action items, and follow up with owners to support timely execution
- Support organizational communications, leadership announcements, and onboarding of new leaders and team members
- Maintain team information, organizational materials, contact lists, records, and administrative tools
- Travel, Expense, and Business Administration
- Coordinate domestic and international travel arrangements and develop detailed itineraries aligned with leader priorities
- Prepare and reconcile expense reports and support purchasing activities in accordance with company policies
- Handle confidential business, personnel, financial, and organizational information with the highest level of discretion
- Support special projects and identify opportunities to improve administrative processes, workflows, and executive support practices
- On-Site Executive and Office Coordination
- Provide in-person support for executive meetings, leadership events, employee forums, and executive visits at the Eden Prairie office
- Coordinate conference rooms, technology, catering, hospitality, materials, and visitor access
- Partner with Facilities, Security, Technology Support, Building Services, and other teams to deliver a seamless executive and employee experience
- Support employee engagement, recognition activities, and other People Team events held at the Eden Prairie campus

Required Qualifications:
- High school diploma, GED, or equivalent work experience
- 5+ years of experience supporting senior leaders, executives, or leadership teams
- Experience managing complex calendars, meetings, events, travel arrangements, and expense reporting
- Advanced proficiency in Microsoft Outlook, Teams, Word, Excel, PowerPoint, and related collaboration tools
- Proven ability to manage multiple priorities with exceptional organization, accuracy, and attention to detail
- Demonstrated ability to handle highly confidential and sensitive information appropriately
- Proven ability to work in person at the Optum Eden Prairie office and provide on-site executive support
- Proven solid written and verbal communication skills
Preferred Qualifications:
- Experience supporting C-suite, Executive Leadership Team, Senior Leadership Team, or equivalent executive leaders within a large, complex organization
- Experience supporting multiple senior People Team, Human Resources, or enterprise functional leaders
- Experience within healthcare, health services, insurance, or another large matrixed organization
- Experience coordinating executive events, off-sites, and high-visibility leadership materials
- Familiarity with Concur, Ariba, SharePoint, Copilot, and other productivity technologies
- Proven solid PowerPoint development, presentation support, and executive briefing capabilities

Scope and Complexity
This role supports People Team leaders operating within a large, complex, matrixed organization. The Executive Assistant serves as an extension of the supported leaders and regularly interacts with senior executives, key business stakeholders, and enterprise partners. The incumbent is expected to independently manage competing priorities, navigate ambiguity, exercise sound judgment, and drive execution across a broad range of administrative and operational responsibilities while maintaining the highest standards of professionalism and confidentiality.
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $34 - $60 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
