The Executive Assistant will provide high-level administrative and operational support to the Chief Medical Officer and the broader Office of the Chief Medical Officer. This role requires strong judgment, discretion, responsiveness, and the ability to manage complex work independently. The ideal candidate will be highly organized, service-oriented, and comfortable handling sensitive information while coordinating across leaders, teams, and business partners.

This role provides executive support to the Chief Medical Officer for Home & Community Care Delivery. The position is central to protecting executive capacity through calendar prioritization, travel and logistics coordination, follow-up management, document flow, leadership communications support, onboarding coordination, and sensitive approval and access workflows. The role also supports continuity across the Office of the Chief Medical Officer by helping keep priorities moving in a fast-paced, highly confidential environment.

You'll enjoy the flexibility to work remotely * from anywhere within the U.S. as you take on some tough challenges. For all hires in the Minneapolis or Washington, D.C. area, you will be required to work in the office a minimum of four days per week.

Primary Responsibilities:

  • Manage a highly complex executive calendar, including prioritization of competing requests, scheduling decisions, meeting sequencing, and rapid conflict resolution
  • Coordinate travel arrangements, itineraries, meeting logistics, and related administrative workflows aligned to executive priorities and schedule demands
  • Coordinate follow-ups, schedule holds, and document flow for the Chief Medical Officer and related leadership workstreams
  • Prepare, edit, format, and maintain executive materials including agendas, presentations, reports, contact lists, org charts, and meeting materials
  • Support delegated approval and compliance-related workflows, including travel approvals, expense approvals, secure access requests, and other sensitive enterprise processes
  • Own and maintain administrative infrastructure such as distribution lists, recurring leadership communications, onboarding support, and onsite or offsite logistics
  • Coordinate in-person and virtual meetings, including meeting space, materials, participant readiness, access support, and catering when applicable
  • Initiate and support access, equipment, and related operational requests for new hires and team members as needed
  • Work independently to prioritize, organize, and complete complex administrative activities while anticipating needs and identifying solutions to non-standard requests
  • Serve as a resource to others and coordinate activities across teams to ensure timely execution of high-priority work

Required Qualifications:

  • High School Diploma / GED or equivalent work experience
  • Administrative support experience in a corporate or business environment
  • Proven experience managing calendars, meetings, travel, and executive support activities with accuracy and attention to detail
  • Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and other standard collaboration tools
  • Demonstrated ability to work independently, handle complex activities, and prioritize multiple competing demands
  • Demonstrated ability to manage confidential and sensitive information in accordance with internal policies and procedures
  • Proven ability to work full-time Monday through Friday with flexibility to support business needs, including occasional overtime as needed
  • Proven ability to support business hours aligned primarily to Pacific and Central Time

Preferred Qualifications:

  • Experience supporting senior executives or enterprise leaders in a fast-paced, matrixed organization
  • Experience preparing executive presentations, business materials, and leadership communications
  • Experience supporting onboarding, access requests, and enterprise administrative workflows
  • Experience coordinating onsite meetings, offsites, or leadership events

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). No matter where or when you begin a career with us, you'll find a far-reaching choice of benefits and incentives. The hourly pay for this role will range from $20.38 to $36.44 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
