We are seeking a highly organized, proactive Executive Assistant to provide high-level administrative and operational support to the Chief Executive Officer (CEO) and Chief Marketing Officer (CMO). This is a full-time, in-office position. This role is responsible for complex calendar management, travel coordination, meeting preparation, and action-item follow-through across senior leadership forums. The ideal candidate exercises excellent judgment, discretion, and communication skills, and thrives in a fast-paced, high-visibility environment.

Working Style & Expectations

  • Builds trusted partnerships across functions while representing the CEO and CMO office professionally

Primary Responsibilities:

  • Executive calendar management: Manage and optimize complex calendars for the CEO and CMO, including scheduling across time zones, resolving conflicts, and ensuring adequate preparation time
  • Meeting coordination: Schedule internal and external meetings; prepare agendas, pre-reads, and logistics; and ensure leaders are briefed on objectives, attendees, and desired outcomes
  • Travel planning and logistics: Book air/hotel/ground transportation; build detailed itineraries; coordinate changes in real time; and support visa, security, and special accommodation needs when applicable
  • Expense management: Compile and submit accurate, timely travel and business expense reports; reconcile receipts; and ensure compliance with applicable policies and deadlines
  • Off-sites and events: Plan and execute leadership off-sites and team events as needed, including venue selection, budgets, catering, A/V, materials, and run-of-show
  • Senior Leadership Team (SLT) support: Take meeting minutes for SLT meetings, track decisions and follow-ups, and drive closure by monitoring owners and due dates
  • Business reviews: Take minutes and capture action items for Business Process Reviews (BPRs) and internal Quarterly Business Reviews (QBRs); publish notes promptly and maintain an action log
  • Business Segment Liaison (BSL): Coordinate business-segment administrative support activities, including onboarding support for new employees (orientation logistics, access/equipment coordination, and first-week readiness), ordering and tracking office supplies, and facilitating replacement equipment requests in partnership with IT/Facilities
  • Stakeholder management: Serve as a professional point of contact for key internal and external stakeholders, screening and prioritizing requests with diplomacy and confidentiality
  • Confidential information handling: Manage sensitive information with discretion, maintaining strict confidentiality and appropriate document handling practices
  • Communication support: Draft, edit, and proofread executive communications (emails, memos, presentations, and announcements) as needed
  • Document and information management: Organize files, meeting artifacts, and leadership materials; maintain version control and ensure easy retrieval
  • Project and task coordination: Track deliverables on behalf of the CEO/CMO, follow up with cross-functional teams, and escalate risks or blockers as appropriate
  • Operational support: Process purchase requests and coordinate with Finance/HR/IT/Facilities on routine administrative needs (e.g., onboarding/offboarding coordination, equipment requests, office logistics)
  • Process improvement: Identify opportunities to streamline administrative workflows, templates, and meeting cadence; recommend improvements to increase leadership effectiveness
  • Backup coverage: Provide coverage for other executive assistants as needed and document standard operating procedures to support continuity

Required Qualifications:

  • Proven experience supporting C-suite executives (CEO/CMO or equivalent) in a fast-paced environment
  • Advanced proficiency in Microsoft Outlook (calendar management, scheduling best practices, delegate access) and strong proficiency in Excel, Word, and Visio
  • Expert-level proficiency in Microsoft Teams, including meeting scheduling and management, chat/channel collaboration, file collaboration, meeting notes, recordings/transcripts (where enabled), and effective use of Teams features to improve communication and follow-through
  • Proven ability to work full time on-site in downtown Honolulu with flexibility to work varied hours based on business needs

Preferred Qualifications:

  • Experience supporting executive-level rhythms of the business (e.g., staff meetings, SLT meetings, operating reviews, QBRs)
  • Experience coordinating complex, multi-city or international travel
  • Experience with project/task tracking tools and/or building lightweight process documentation
  • Proven comfort partnering with senior leaders, external partners, and customers

Soft Skills

  • Exceptional organizational skills with the ability to manage multiple priorities, shifting deadlines, and a high volume of requests
  • Solid written and verbal communication skills; able to produce clear minutes, summaries, and action-item logs
  • High degree of professionalism, discretion, and sound judgment when handling sensitive topics and confidential information
  • Ability to work independently, anticipate needs, and proactively solve problems with minimal direction
  • Solid attention to detail and accuracy, particularly related to scheduling, travel, and expense reporting

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $20.38 to $36.44 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
