The Senior Administrative Assistant provides high-level administrative, operational, and facilities support to senior leadership, including the Health Plan Chief Executive Officer (CEO) and leadership team as needed. This role also serves as the Business Segment Liaison (BSL) and primary point of contact for Kentucky office facilities. The position requires solid organizational skills, sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced, highly confidential environment. This role is critical to executive efficiency, operational continuity, enterprise coordination, and maintaining a well-functioning onsite office environment.

This role is based in the Louisville, Kentucky office; hybrid work environment in office 4 days with the flexibility to work remotely 1 day a week.

Primary Responsibilities:

  • Executive Support
    • Provide direct administrative support to the CEO, including complex calendar management, scheduling, and meeting coordination and leadership team as needed
    • Anticipate executive needs and proactively manage priorities to protect leadership focus and time
    • Prepare and coordinate materials for leadership meetings, presentations, and executive communications
    • Manage executive approvals, signatures, and time-sensitive documentation
    • Serve as a key point of contact for internal and external stakeholders, exercising discretion and professionalism
    • Maintain confidentiality of sensitive and proprietary information at all times
  • Business Segment Liaison (BSL) Responsibilities
    • Act as Business Segment Liaison for Kentucky operations through coordination of enterprise service requests including:
      • Technology and hardware acquisition or disposal
      • System and access requests
      • ServiceNow and internal ticket submissions
    • Support onboarding and offboarding administrative processes
    • Maintain compliance with enterprise standards and administrative procedures
  • Facilities & Office Management
    • Serve as the primary facilities contact for the Kentucky office location
    • Coordinate office operations including:
      • Badge and building access
      • Office supplies and equipment
      • Vendor coordination and maintenance requests
    • Ensure office readiness for onsite meetings, leadership visits, and events
    • Partner with enterprise and local teams to address space, safety, and office operations needs
  • Meetings, Events & Engagement
    • Coordinate logistics for onsite and virtual leadership meetings, large group meetings, and events
    • Support planning for leadership offsites, external meetings, and special events
    • Assist with employee engagement and recognition activities where appropriate
  • Reporting, Compliance & Special Projects
    • Provide administrative support for enterprise and regulatory reporting, including document tracking and uploads
    • Monitor deadlines and support timely completion of required submissions
    • Assist with special projects and operational initiatives as assigned

Required Qualifications:

  • 3+ years of executive or senior-level administrative support experience including managing: multiple tasks/calendars for leadership, travel arrangements and creating and submitting expense reports, meetings and events, office documentation and supplies
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams
  • Demonstrated ability to manage competing priorities with minimal supervision
  • Proven solid written and verbal communication skills
  • Proven ability to handle confidential and sensitive information with discretion
  • Reside within commuting distance to Louisville, KY; willing and able to work onsite in Louisville office four (4) days per week

Preferred Qualifications:

  • Experience supporting C-Suite leadership
  • Administrative experience in a large matrixed organization
  • Experience in healthcare, insurance, or regulated environments
  • Familiarity with enterprise administrative systems (e.g., ServiceNow, SharePoint)

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $xx.xx to $xx.xx per hour based on full-time employment. We comply with all minimum wage laws as applicable.
