Tides of Mind Counseling, part of the Optum family of businesses, is seeking a Associate Patient Care Coordinator to join our team in Middlebury, CT. As a member of the Optum Behavioral Care Team, you'll be an integral part of our vision to make healthcare better for everyone.
Schedule: 25-hour work week Monday through Thursday between the hours of 8am - 4pm EST or 9am - 5pm EST The scheduled will be determined upon hire.

Primary Responsibilities:
Greetings patients and visitors in a prompt, courteous and helpful manner
Verifies insurance information, address and phone number of the patient, registers new patients
Answers incoming phone calls in a courteous and prompt manner; directs calls and takes messages
Schedule appointments, take messages, and respond to the needs of patients and callers
Assist with new clients (i.e., explain paperwork, verify completion, obtain signatures and consents, obtain insurance information, etc.)
Schedule new clients according to staff qualifications and insurance requirements. Send text messages/emails to patients regarding upcoming appointments and canceled/rescheduled appointments
Process payments for co-pays, deductibles, co-insurance, self-pay, and missed appointments fees
Secure patient information and maintain patient confidentiality
Ability to maintain a work queue list- complete any pending actions ie referrals, scheduling appointments
Performs clerical duties such as copying, faxing and filing
Contact patient in case of no call\no show
Ability to use an electronic health record (Athena)
Effectively executes time management by notifying the provider team of the patient's arrival, consistently reviewing the daily patient schedule, and notifying the team of any potential conflicts., which may include voicemails, emails, and online bookings
Helps ensure continuity of care and communication between Optum providers and other partners as appropriate
Completes clinic reports and administrative duties to ensure exceptional patient care
Execute working knowledge of HIPAA privacy laws by protecting patient information. Maintain confidentiality of all patient and employee information
Opens or closes the clinic facility
Performs related work as required

Required Qualifications:
- High School Diploma or GED
- 1+ years of computer proficiency experience (multi-task through multiple applications including Microsoft Outlook, Excel, and Word)
- 1+ years of customer experience in a mental health office or medical setting
Preferred Qualifications:
- Basic understanding of medical terminology
- Proven ability to interpret a variety of data and instructions furnished in written, oral, diagram, or schedule form
- Proven ability to explain sensitive information clearly and professionally to diverse audiences, including non-medical staff, both written and verbally
- Proven ability to accomplish multiple tasks in an environment with interruptions
Soft Skills:
- Ability to work independently and maintain good judgment and accountability
- Demonstrated ability to work well with health care providers
- Strong organizational and time management skills
- Ability to work well under pressure in a fast-paced environment
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $16 - $29 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
