The Associate Patient Care Coordinator (Neurology/Ancillary) is responsible to the Center Administrator and provides appointment scheduling, patient registration, cashiering, answers incoming calls and performs other related clerical functions. This primary role provides front office support functions.
Schedule: Monday-Friday, 8-hour shift between the hours of 6:30am-5pm EST. Schedule to be determined by manager upon hire.
Location: 503 Greenwood Trace, Whiteland, IN
Primary Responsibilities:
- Answers telephones and either responds to the inquiry, directs the caller to the appropriate personnel, or initiates a triage slip for response by medical personnel; retrieves voicemails and answers/routes them as needed
- Answers incoming questions about the organization and provides callers with the address, directions, and other information
- Schedules appointments and enters the appointment date and time into a computerized scheduler or appointment book
- Telephones or send text messages to patients to remind them of appointments
- Instructs new patients in completion of medical history and information forms; collects updates from current patients
- Schedules follow-up appointments
- Greets and directs patients, salespeople, and visitors
- Receives payments on accounts
- Makes change, cashes checks, and issues receipts to patients
- Reviews medical records for completeness, assembles records into standard order, and files records in designated areas according to applicable alphabetic and numeric filing systems
- Requests/pulls patient medical records for next-day appointments; files medical records upon completion
- Records when appointments have been filled or canceled
- Enters patient information into the computer; retrieves data as needed
- Confers with doctors, nurses, and other health personnel to ensure complete, current, and accurate medical records
- Confirms patient insurance eligibility with insurance companies
- Receives forms documenting patient visits and computes the amount due from each patient and the insurance company
- Records payments received and prepares reports of transactions
- Updates the billing system to include details of the services provided or procedures performed on the patient
- Receives, sorts, and routes mail, and maintains and routes publications
- Attends meetings and participates on committees as requested
- Reviews current literature and attends training sessions and seminars to keep informed of new developments in the field
- Performs other related duties and responsibilities as directed
- Complies with all company policies and procedures regarding HIPAA and handling of PHI
- Complies with all company policies and procedures regarding handling of cash or other payments

Required Qualifications:
- High School Diploma/GED
- 2+ years of customer services experience and/or experience working in a healthcare environment
Preferred Qualifications:
- Healthcare or medical office experience
- EMR experience
- Knowledge of medical terminology
Soft Skills:
- Ability to prepare reports and routine business correspondence
- Ability to interact and communicate with a variety of people, both on a one-on-one basis and in meetings and group presentations; must be able to relate to and work with ill, emotionally upset, and sometimes hostile people
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals
- Ability to follow direction
- Ability to think logically in order to troubleshoot, analyze situations, and make appropriate decisions
- Proficient computer skills, including working knowledge of Microsoft Office Suite, e-mail systems, and web-based programs
- Ability to handle multiple tasks simultaneously
Physical Demands:
- Ability to work in a fast-paced office environment
- Ability to stand and sit for periods of time and to move intermittently throughout the workday
- Strong sensory skills, such as visual acuity, good hearing, and dexterity
- Ability to occasionally push, pull, lift, move, and/or carry up to 15 pounds with or without assistance
- Good speaking and listening skills
- Ability to perform focused work with close attention to detail
- Ability to operate office equipment, including computers, copiers, fax machines, and phones
- Ability to interact with others, both in person and through phone, e-mail, and written correspondence
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $16.00 to $29.00 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
