Under general supervision, coordinates the daily support operation of Gastroenterology referral management. Review complex referral requests and evaluate and assign appropriate specialists for the patient. Works with patients and providers to understand the services being requested. Works closely with Gastroenterology providers and nurses to ensure safe and appropriate clinical handoffs. Coordinates care both within Atrius Health and with external partners. Assures patients are scheduled appropriately at the correct procedure locations. Supports GI providers with their schedules, procedure cancelations, and coordinating rescheduling of patients.
Schedule: Monday - Friday, 8:30am - 5pm
Location: This is a hybrid role, will be required to work onsite 1 day per week at 1177 BOSTON PROVIDENCE HWY NORWOOD, MA 02062

Department: Digestive Health
Primary Responsibilities:
- Exhibits a high level of technical skill and functions as a resource for other support members. Fills in for referral staff as needed to provide appropriate department support. Takes a lead role in ensuring department workflow is of a high quality. Understands and achieves a high level of competence in all GI Navigator Coordinator roles
- Implements operational procedures in accordance with established guidelines. May make minor modifications to standard procedures. Review exceptions and changes with a supervisor. Monitors staff's understanding of current procedures and ensures procedures are implemented correctly
- Monitors procedures and ensures procedures are implemented correctly. Provides feedback to management on status of implementation process
- Serves as point person for department providers. Escalate issues as needed
- May acts as the point of contact for patient inquiries, problems, and complaints. Refers complex issues to appropriate resources
- Refers interdepartmental and clinical issues to appropriate resources
- Exhibits exemplary patient manners and serves as a role model for Referral Coordinators
- Monitors routine data and information flow for the department and notifies the supervisor of any deviations
- Assists in the orientation of new staff. May collect data for use in the management decision-making process. Completes standard reports required for the management of the department
- May handle scheduling time off, timesheet, and payroll issues for staff. Provides input into performance reviews
- Monitors appointment schedules for booking accuracy. Ensure the provider's schedules are booked to capacity
- Develops and prepares GI Procedure Phone Room performance reports by collecting, analyzing, and summarizing data and trends and reports on this regularly to the Navigator Supervisor
- Assist the Navigator Supervisor, maintaining and improving GI Procedure Phone Room operations by monitoring system performance; identifying and resolving problems; preparing and completing action plans; completing system audits and analyses; managing system and process improvement and quality assurance programs; participating in system upgrades
- Build strong positive partnerships with off-site-based leaders at Hospitals and Endoscopy units
- Provide direction and support to staff to ensure departmental effectiveness and efficiency. Orients and trains staff. Provided input into evaluating performance
- Functions as a resource for other support members. Fills in for staff as needed to provide appropriate support to the department. Takes the lead role in ensuring department workflow is of a high quality
- May act as supervisor in the absence of actual supervisor
- Accesses only the minimum necessary protected health information (PHI) for the performance of job duties. Actively protects the confidentiality and privacy of all protected health information they access in all its forms (written, verbal, and electronic, etc.) taking reasonable precautions to prohibit unauthorized access. Complies with all Atrius Health and departmental privacy policies, procedures and protocols. Follows HIPAA privacy guidelines without deviation when handling protected health information
- Ability to work in a Busy office environment with frequent deadlines and interruptions
- Performs other duties as assigned
Supervisory Responsibilities:

Required Qualifications:
- High School Diploma/GED
- 3+ years of scheduling experience in a medical office setting
- Intermediate level of proficiency with MS Word, Excel and Outlook
Preferred Qualifications:
- Previous GI experience
- Previous experience leading a team and/or training others
Soft Skills:
- Strong interpersonal skills with the ability to interact effectively with patients and medical professionals required
- Has sound judgment with the ability to work and make decisions in a fast-paced environment

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $20.38 to $36.44 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
