The Senior Administrative Assistant provides advanced, high impact administrative and operational support to the Chief Medical Officer (CMO) / Senior Vice President (SVP) and other Medical Directors and VPs within the org as assigned. This role operates with a high degree of autonomy and discretion, managing complex executive calendars, travel, expenses, access governance, and enterprise workflows. The position serves as a trusted partner to senior leadership and enables efficient business operations across a highly matrixed organization.

Primary Responsibilities:

  • Executive Administrative Support
    • Provide comprehensive, advanced administrative support to senior leadership, exercising independent judgment and discretion in the coordination of daily activities
    • Act as a primary point of contact for the leader, triaging requests and routing matters appropriately
    • Handle highly confidential, sensitive, and time critical information in compliance with enterprise policies
  • Calendar Management & Meeting Coordination
    • Manage complex and highly dynamic executive calendars, including rapidly accepting and declining with explanation outlook invitations on behalf of leadership
    • Proactively resolve calendar conflicts by assessing priority, urgency, and business impact
    • Schedule new meeting requests across internal and external stakeholders to ensure effective use of executive time
    • Coordinate meeting preparation by requesting agendas, issuing reminders, and ensuring required materials are available and noted or communicated to leadership
  • Expense Management & Financial Coordination
    • Prepare, submit, and reconcile executive expense reports in Concur in accordance with UHG policies
    • Review and approve expense reports as a delegated approver
    • Partner with finance teams to resolve discrepancies and ensure timely and accurate processing
  • Travel Planning & Coordination
    • Coordinate executive travel requests, including cost estimates and approvals
    • Book and manage air, hotel, and ground transportation in alignment with company guidelines
    • Serve as a designated travel approver and resolve travel related issues as needed
  • Event & In Person Meeting Support
    • Coordinate approval requests and planning for onsite and offsite leadership meetings and executive events
    • Ensure logistics, materials, and technology needs are met for in person, hybrid, and virtual engagements
  • Access, Security & Credential Management
    • Support enterprise access governance by completing access reviews and audits on behalf of leadership
    • Submit, track, and approve access requests and changes as a delegated authority
    • Coordinate building access and ensure compliance with security requirements
  • Operational & Business Support
    • Attend meetings as requested; capture notes, proof and validate AI generated (Copilot) meeting summaries, and ensure action items are documented
    • Track and audit team PTO and balances; submit required inputs to GSS and other systems
    • Draft, edit, and proof executive level communications on behalf of leadership
    • Maintain and audit PAL, credential, and access documentation
    • Develop and maintain organizational charts using Visio
    • Conduct ongoing audits and reconciliation of distribution lists
    • Create professional presentations and executive ready materials, including presenter notes
    • Build, maintain, and manage SharePoint sites, lists, and tracking tools
    • Moderate Teams channels, including scheduled communications and updates
    • Maintain operational logs and credentials tracking in Smartsheet or similar tools
    • Manage and execute Business Support Line (BSL) requests to completion
  • Critical Skills & Competencies
    • Advanced organizational and time management skills with the ability to manage competing executive level priorities
    • Demonstrated executive presence, professionalism, and emotional intelligence
    • Proven ability to exercise discretion and sound judgment with confidential information
    • Strong written and verbal communication skills suited for executive audiences
    • High attention to detail, accuracy, and follow through
    • Ability to work independently in a fast paced, ambiguous, and deadline driven environment
    • Strong proficiency with enterprise tools and collaboration platforms

Required Qualifications:

  • 3+ years of experience providing advanced administrative support to senior leaders (VP level or above) within a large, complex organization
  • Experience with Concur, enterprise travel systems (AMEX), and access management tools
  • Demonstrated experience acting as a delegated approver across enterprise systems
  • Experience leveraging AI tools (e.g., Copilot) to support productivity and meeting outcomes
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and Visio


Preferred Qualifications:

  • Experience supporting C suite or SVP level executives
  • Experience in healthcare or other regulated environments
  • SharePoint site administration and content governance experience
  • Demonstrated ability to partner across functions and operate as a trusted advisor to leadership

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). No matter where or when you begin a career with us, you'll find a far-reaching choice of benefits and incentives. The hourly pay for this role will range from $20.38 to $36.44 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
