The Office Manager is responsible for overseeing the day-to-day operations of the office, ensuring an efficient, professional, and well-organized work environment. This role serves as a central point of coordination for administrative processes, facilities management, workplace services, employee support, and special projects. The Office Manager partners across departments to improve operational efficiency, enhance the employee and visitor experience, and support organizational objectives.
Primary Responsibilities:
- Office Operations & Administration
- Manage daily office operations, administrative functions, and general workplace requests from intake through resolution
- Establish and maintain office policies, procedures, and best practices
- Coordinate office logistics, workspace planning, meeting room reservations, access needs, and facility support
- Ensure office environments are organized, safe, professional, and operationally efficient
- Maintain office records, supplies, equipment inventories, badge and print access processes, and Business Segment Liaison activities as needed
- Support office safety and front-office processes, including reception voicemail review, first aid support, and related workplace procedures
- Employee & Leadership Support
- Coordinate onboarding and offboarding activities, including completion of required onboarding and QMS-related training documentation
- Serve as a point of contact for workplace questions, resources, administrative support, and cross-functional team needs
- Support leadership meetings, team events, offsites, and employee engagement activities
- Provide executive administrative support as assigned, including calendar management, meeting coordination, travel arrangements, and hotel bookings
- Provide administrative and operational support to assigned business teams, including order production or regional business support activities
- Financial & Budget Administration
- Code invoices, purchase orders, expense reports, vendor payments, and related transactions in applicable systems
- Identify opportunities for cost savings and operational efficiencies
- Manage catering coordination, vendor relationships, and invoice submission for office and meeting needs
- Meetings & Events
- Plan and coordinate meetings, workshops, town halls, and special events
- Manage conference room reservations, catering, technology setup, meeting materials, and day-of logistics
- Prepare meeting agendas, materials, presentations, and communications
- Ensure seamless execution of both in-person and virtual events
- Continuous Improvement
- Identify and implement process improvements to enhance efficiency and employee experience
- Support organizational initiatives and special projects as assigned
- Promote a culture of service excellence, accountability, and collaboration

Required Qualifications:
- 2+ years of office management, operations, administration, or related experience
- Proficiency with Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams)
Experience managing multiple priorities in a fast-paced environment
Preferred Qualifications:
- Experience supporting senior leaders or executive teams
- Budget management and vendor management experience
- Project management or process improvement experience
- Experience leading workplace initiatives, events, or employee engagement programs
- Demonstrated problem-solving and decision-making skills
- Organizational, planning, and project coordination skills
- Excellent verbal and written communication abilities
Canada Residents Only: The salary range for Canada residents is $42,600 to $88,600 annually. Pay is based on several factors including but not limited to education, work experience, certifications, etc.
