Positions in this function include traditional Executive Assistant duties including: answering the telephone; typing/word processing of documents, spreadsheets and presentations; maintaining calendars and setting up meetings; making travel arrangements; copying, faxing, setting up files, and tracking expenses.
This role is office based in Seattle or Tacoma, WA.
Primary Responsibilities:
- Proactive approach to assisting and supporting executives. Must be professional and comfortable interacting with executive level leaders; must also be prepared to manage the complexity of coordinating travel, meetings, and visitors at this level. This position will be supporting multiple C-level leaders
- Manage multiple executive calendars including, scheduling meetings, material preparation and distribution, coordinating remote participants, and taking meeting minutes
- Manage calendars with ability to resolve multiple calendar conflicts
- Handle confidential information professionally and discreetly
- Act as the Health Plan business segment liaison (BSL) by coordinating with other BSLs and enterprise partners on administrative and technical tasks, onboard new staff, support offboarding staff, and assist with building access and other administrative tasks
- Act as administrative process guru and resource for the team
- Recruiting - schedule candidate interviews and travel logistics
- Schedule travel and manage expense reimbursement
- Work is frequently completed without established procedures
- Self-directed and work independently
- May coordinate activities for other leaders
- Provide internal and external customer service to employees, vendors and clients
- Light project management support for executive and health plan projects and initiatives

Required Qualifications:
- 5+ years experience supporting executive - level staff members
- Proven experience delivering a high level of internal and external customer service
- Intermediate to Expert level Microsoft Word /PowerPoint / Excel / Word / Visio experience
Preferred Qualifications:
- 3+ years experience creating and submitting expense reports
- 3+ years experience maintaining calendars and setting up meetings
- 3+ years experience making travel arrangements
- Experience in healthcare
- Ability to multi-task and handle high-level projects/assignments
- Excellent verbal and written communication skills
- Diligent attention to detail
- Proactive and future-thinking
Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $20.38 to $36.44 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
