The Administrative Coordinator serves as the first point of contact for members and visitors, ensuring a welcoming and professional environment. This role is responsible for managing front desk operations, administrative tasks, member relations, and maintaining a clean and organized facility. The Administrative Coordinator will also be cross-trained to complete various tasks related to patient management and clinic check-ins. The ideal candidate is detail-oriented, customer-focused, and able to multitask in a fast-paced setting.

Primary Responsibilities:

  • Administrative Duties
    • Manage incoming phone calls and voicemails; return member calls promptly
    • Create flyers and in-house marketing materials for onsite activities
    • Confirm member eligibility and prepare reports for fitness benefit programs
    • Submit service advocate requests on behalf of Optum members
  • Cleaning and Organization
    • Maintain inventory and restock supplies as needed
    • Perform daily closing procedures
    • Keep the front desk area clean and organized
    • Organize common areas such as the living room
  • Front Office Management
    • Manage member registration documents
    • Organize and display marketing materials
    • Uphold privacy standards for member information
  • Kiosk Operations
    • Manage G360 system for member and event tracking
    • Ensure proper event check-in procedures
    • Assist with member check-in and scheduling
    • Conduct new member onboarding and facility tours
    • Verify member profiles for accuracy and confirm eligibility
  • Member Relations
    • Greet and welcome members warmly upon arrival
    • Engage with members to foster a positive experience
    • Address and resolve member inquiries promptly and professionally

The Administrative Coordinator may also perform other related duties as assigned to ensure the smooth operation of the site and to support initiatives that help members live longer, healthier lives.

Required Qualifications:

  • CPR/AED or ability to obtain within 30 days of hire
  • Proficient in Microsoft Office Suite
  • Proven excellent interpersonal communication

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). No matter where or when you begin a career with us, you'll find a far-reaching choice of benefits and incentives. The hourly pay for this role will range from $17.98 to $32.12 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
